Cancellation Policy:
PLEASE READ THE FOLLOWING SCHEDULE CAREFULLY. THERE CAN BE NO EXCEPTIONS:
INDIVIDUAL CANCELLATIONS
Cancellation Policy: Participants needing to cancel their reservation should immediately notify the Trip Chair and Winter Activities Director in
writing. The notice must be in writing by the canceling party. If by email, send to trips@fresnoskiclub.com and markvesterski@gmail.com. Verbal or
text messages are not sufficient notice. If one member of a couple cancels and it results in a single occupancy room, the canceling party may be
responsible for the outstanding room fees. Any cancellation made after the initial deposit will incur a $25 cancelation fee. A cancelation made after
November 20, 2024, will result in the loss of all money paid unless one of the following three conditions can be met. 1) A waitlist exists, and a
roommate compatible replacement from the waitlist can replace the canceling member. 2) If a wait list does not exist, the canceling party may
submit a roommate compatible replacement for consideration. Any proposed referral may not be delegated; the replacement must meet FSC
membership requirements. 3) The Trip Chair or Winter Activities Director is able to recruit and sign-up a roommate compatible replacement. When a
replacement is obtained, an administrative cancellation fee of $150.00 plus any additional penalties and transfer fees will be deducted from any
refund due to the canceling participant. All refunds will be reviewed by the Treasurer and Winter Activities Director, who will make recommendations
to the FSC Board after completing all trip accounting. The FSC Board has the authority to approve or modify refund recommendations. Refund
disputes will be reviewed, and the FSC Board of Directors will determine their outcome. Any disputes must be in writing, addressed to the FSC
Board, and must include all relevant information regarding the specific amounts in question.

FRESNO SKI CLUB TRIP AND INSURANCE POLICIES: Breckenridge 2/1-8, 2025
Before taking the trip to Breckenridge with the Fresno Ski Club, please read, complete, and sign this form to
indicate you agreement to abide by the Club’s trip and insurance policies. CST# 2088525-0
Reservations: Club membership is required for participation in all Club trips. A deposit is required to secure a reservation on a club trip.
Package Features: The purchase price includes all published features and is based on double occupancy per room unless otherwise noted.
Participants requiring a limited or adjusted package must notify the Trip Chair in writing. Text, voice mail, and verbal communication are not
acceptable. The Trip Chair, under the advice of the Club Board of Directors and its travel vendor(s), may or may not be able to accommodate these
requests. Participants may incur additional charges for modifications; charges may include but are not limited to, penalties, transfer fees, or a single
supplement.
Payments: Payments must be made in accordance with the published payment schedule deadlines to maintain space on the trip.

The cancellation policy stated above is effective regardless of the reason for the cancellation, including any medical condition or a death in the
family. Trip participants are encouraged to purchase Trip Insurance to potentially cover losses, fees, or charges due to an unexpected cancellation.
Reimbursement from the trip Insurance Provider is between the Insurance Company and the insured and not the Fresno Ski Club.
Wait Lists: The trip chair will maintain a waitlist of potential participants to draw a possible replacement for any canceling participant to fill the
vacated reservation. The waitlist will be the primary source for replacements and will be ranked in the order of the date the participant’s deposit was
received by the Trip Chair or, if mailed, based on the postmarked date. At the time of notification of reservation availability, the wait-listed
participant’s check will be deposited.
Participant Conduct: Trip participants are expected to conduct themselves in a manner that is respectful of the Club, and abides by all laws of
the jurisdiction in which the Club is staying. No minor (under 18) will be allowed as a trip participant unless accompanied by a legal guardian or an
appointed adult participant with the written approval of the minor’s legal guardian.
Authority: The Fresno Ski Club is responsible for and reserves the authority to arrange and provide all trip features and services provided.
However, the Fresno Ski Club is not responsible for any personal injury or property damage caused by any carrier, lodge, or another vendor in
connection with the trip. The Trip Chair is the Club’s on-site agent and is vested with the authority to adjust trip features and schedules due to
unforeseen circumstances to meet the Club’s operating objectives and promote Member harmony. Each participant is individually responsible for
any expense incurred by the participant during the trip due to unforeseen and uncontrollable events, such as transportation delays, layovers due to
weather, or other problems, including personal injuries, illnesses, or further delays and interferences not in control of the Club, all of which are not
covered by the Club’s travel contracts.
Trip Insurance: Trip insurance is optional. I understand that if I waive the trip insurance, I am not guaranteed any refunds on any unused
portions of my trip, regardless of the timing or reason(s) for cancellation, and that I may be charged penalties. I understand that the Fresno Ski Club
won't be responsible for any representations made by the Trip Chair or any other Club member about what may or may not be covered by the trip
insurance. I further understand that trip insurance Providers do not usually cover work-related cancellations.
