Potential Trip Pricing Adjustments:

The trip price is based on the current EURO exchange rate. Fluctuations in the exchange rate may occur. If the exchange adjusts more than .03 at time of payment there may be an adjustment to the total trip cost.

Airlines & transfer companies have the right to impose fuel surcharges. While this is unlikely it is possible.

If participating in multiple trips - please provide a separate check for each trip. Providing one check for multiple trips often results in funds being posted incorrectly. Checks can be split among multiple guests per trip.

DEPOSIT CHECKS MUST BE RECEIVED WITHIN 10 DAYS OF REGISTRATION. DELAYED PAYMENT MAY RESULT IN CANCELLATION.

MEMBERSHIP: Only members in good standing of the Club or another OVSC Club can be participants on a trip. Participants who fail to submit signed membership applications and pay dues for current year will be removed from trips.

WAITING LIST:
1. Members on the waiting list must make the initial deposit and complete a trip application form.
2. Once notified of a vacancy, a member on the waiting list will have five (5) days to pay the amount currently due on the payment schedule.
3. If no vacancy becomes available, members on the waiting list will have all monies refunded.

APPEALS:
1. All appeals of cancellation fees, no show costs, or other incurred liabilities will be reviewed by the Board at its next scheduled meeting, but only if the appeal has been received in writing by the President, the Executive Vice President or the Trip Leader within fifteen (15) days following the conclusion of the trip.
2. The appeal must contain:
    a. Member's name and address.
    b. Date of incident or trip, date and amount of all monies paid.
    c. Reason for appeal and amount requested.

3. The member should be present at the Board meeting, but attendance is not mandatory. Appeals received after fifteen (15) days may not be considered.

ROOM/CONDO ASSIGNMENTS:
The Club has adopted a policy about assignment of rooms and beds in condominiums, which can be obtained from trip leaders or viewed on the Club’s website. Assignments are generally made by trip leaders, but preferences are given to those who sign up for trips the earliest.

I hereby appoint Lexington Ski and Sports Club ("Club") to perform necessary acts deemed desirable in connection with planning and leading any ski trips or other social/activity function in my behalf. I understand that the Club acts as coordinator only and accepts no responsibility for the services of any person or agent, ski area, airline, motor coach, hotel or condominium, or any organization whatsoever rendering any of the services or accommodations being offered on any trip or activity. Ski trip and other activity fees are based upon current tariffs and are subject to change without notice. The Club accepts no responsibility in whole or part for any delayed departures or arrivals, missed plane or other carrier connections, loss, damage or injury to person or property, mechanical defect or failure of any nature howsoever caused, or for any substitution of hotels or common carrier, with or without notice, or for any additional expenses occasioned thereby.

We fully understand that the Club is a voluntary association run by volunteer Officers and Board Members who have no special or professional training in conducting ski trips and other activities. By participating, we do not rely on the expertise of any director, officer, activity coordinator or the agents of any of the foregoing. Delivery of goods and services as described is the responsibility of the contracted vendors.

Further, I realize that skiing and snowboarding, as well as many other outdoor activities, has innate danger that may result in physical injury or death. I acknowledge that these risks may be known or unknown. Since safety is directly tied to my physical ability and skill to participate in any sport. I hereby release the Lexington Ski and Sports Club, its officers, directors, trip leaders and their agents, from any liability in connection with injuries or physical and equipment damages I may incur in relation to my participation in any event.

By signing this Reservation Request Form, I acknowledge that I have read the attached Trip Rules and agree to these Rules.
